Selling Manager – Downloading Sales Records

Using the File Management Center, you can request a download of your sales records.

Request a download of your sales records

eBay will process your download request and send you an email when the file is ready to download. This may take a few hours to complete. The email will contain a link leading you to the file for you to download.

To request a download of your sales records:
  1. From the Summary view, in the right column, under Seller Tools, click the "File Management Center" link.

  2. From the File Management Center page, click the "Create a Download Request" link.

  3. Select the type of listings and records you want. For example, you can select to only download the sales records you have archived.

  4. Select a date range.

  5. Enter or verify the destination email address.
    Selling Manager Pro subscribers: You can also download your Active View records. You can choose to download all your current Active Listings, or you can choose to download only those active listings closing within a specific date range.

The .csv file containing your sales data will be generated, and you will receive an email when it is ready. You can then import this file in many popular software packages such as Microsoft Excel ™. If you do not have Microsoft Excel, use any text editor to view the file contents.

Setting up a recurring download

Selling Manager Pro subscribers: You can schedule download requests to be processed on a regular basis. You will receive a regular email when the file is ready each day, week, or month, depending on your choices.

You have a choice of download schedules.

  • A daily frequency includes all records from the previous day from 12:00 AM to 11:59 PM. Each day you will receive an email containing a link to the file.

  • A weekly frequency includes the previous 7 days of sales records. You will also need to choose a day of the week on which you want the file to be ready. For example, if you choose Sunday, then all records from 12:00 AM the previous Sunday until 11:59 PM on Saturday will be included in the download file.

  • A monthly frequency means that each month you will receive an email to a file containing the desired records from the preceding calendar month. For example, if, on February 15, you set up a recurring monthly download of all your Sold items, then during the beginning of March you will be emailed a link to a file containing all your Sold items from 12:00 AM February 1 to 11:59 pm February 28. If it is a leap year, you will get all records from 12:00 AM February 1 to 11:59 PM February 29.

To set up a recurring download:
  1. From the Summary view, in the right column, under Seller Tools, click the "File Management Center" link.

  2. From the File Management Center page, click the "Create Download Schedule" link.

  3. Select the type of listings and records you want.

  4. Select the frequency and timing of your scheduled download, including an End Schedule time.

  5. Enter or verify the email address that the downloads will be sent to.
    Selling Manager Pro subscribers: You can also download your Active View records. You can choose to download all your current Active Listings, or you can choose to download only those Active listings closing within a specific date range.

  6. Once you have made your selection, click the Save button.

Download individual sales records from the Selling Manager Sold View

To select individual sales records to download:
  1. From the Sold View, select the listings you want sales records for and click the Download button. You will get a message indicating that the sales records are being prepared for download.

  2. When prompted, select Save this file to disk and click OK. Then select the directory you want to save to, and click Save.

  3. Click Continue when download is complete.

Note: The sales record(s) are downloaded in a comma delimited file (CSV), which can be opened with many popular software packages, such as Microsoft Excel.

  • Sales record number

  • Buyer username  

  • Buyer ZIP/Postal code

  • Buyer state

  • Buyer country

  • Username  

  • Item number

  • Item title

  • Quantity

  • Sale price

  • Shipping and handling

  • Tax

  • Insurance

  • Total price

  • Payment method

  • Sale date

  • Checkout date

  • Paid on date

  • Shipped on date

  • Feedback left (yes or no)

  • Feedback received (positive, negative, neutral)

  • Notes to yourself

  • PayPal transaction ID

Known issues and workarounds

  • Netscape users with Windows OS: When prompted to open or save the file to disk, choose to "Save it to disk." If you choose to open it, all the data will be displayed in one cell.

  • Mac users with Internet Explorer: The file downloaded will be saved under the name: "eBayISAPI.dll." In order to export it into Microsoft Excel, rename the file as a ".csv" file and then open it using Excel.
